Planning Committee Protocol
Due to current on-going Covid-19 pandemic our meetings are currently being held remotely via Microsoft Teams. To ensure full transparency with the democratic process we have set out the following:
Attending the meeting
The agenda for meetings of the committee will be published on the our website five clear working days before to the meeting. Please email firstname.lastname@example.org by 12pm on the Monday before the meeting to request to attend the meeting only or to attend and address the Committee.
The meeting will be held remotely using Microsoft Teams and once you have registered to just attend or attend and speak, you will receive an email from us with a link to the meeting to join via the Microsoft Teams app or to dial into the meeting. If dialling into the meeting please ensure that you include the international dialling code. You will be admitted to the meeting to either just listen or to address the committee. Once you have finished speaking, you can then leave the meeting by either pressing the red telephone button on the app or end your telephone call.
If you would prefer to provide a written submission, this would be read out to the committee for you at the appropriate time by an officer. The deadline for receipt of written submissions is by 12 pm on Monday before the meeting of the committee and this should be emailed email@example.com.
We recommend that you join the meeting approximately 10 minutes prior to the commencement of the meeting.
Speakers will be restricted to three minutes each, a maximum of six supporters and six objectors of the application may speak at committee. The applicant or agent and representative of the parish council are also invited to speak. The Planning Committee Chair will ensure that the opportunity is given to both sides to speak, but an application will not be deferred merely because one side is unable or does not wish to be present.
We cannot be responsible for any connection or IT issues that you may experience and unfortunately we will not be able to provide any support to you on the day of the meeting. Our meetings cannot be delayed due to a technical or connection issue by one of the public speakers.
All meetings will be recorded and an audio recording will be available on the our webpages shortly following the meeting.
